When I got my twentieth email from a well-meaning stakeholder telling me what to do and how to get it done, I realized something had to change. Everyone had an opinion—board members, senior leaders, staff, and even volunteers. Each had their own sense of what was urgent, what success looked like, and how we should move forward.
The truth was, everyone saw different problems and offered different solutions. Some board members wanted to try new fundraising ideas; others debated whether we should add a building addition or start a new banquet. Staff wondered what counted as a program priority, who exactly we were serving, and what exceptions could or couldn’t be made.
When you have 10 or 20 people of influence pulling in different directions, even good intentions create chaos. Without alignment, you can’t move your ministry forward with consistency.
That’s when we created a Ministry Playbook.
What a Playbook Does
A ministry playbook is an internal guide that clarifies your purpose, values, and direction. It gives your team a common language for why you exist, how you behave, and how you make decisions.
It’s not a marketing document or a brand statement. It’s a leadership tool—a concrete, living framework that allows you to lead decisively while staying prayerfully dependent on God.
For us, the playbook became a way to move from reaction to reflection. It gave us filters to help decide what truly mattered:
Does this align with our mission and values?
Does it help the people we’re called to serve?
Is it something we’re uniquely equipped to do, or can someone else do it better?
Does it strengthen our culture or strain it?
These became our questions before saying “yes” to new ideas, partnerships, or programs.
How a Playbook Changed Our Ministry
When we developed our ministry playbook, we had something concrete and documented to serve as a consistent measure—and that made all the difference.
Our board could see the reasoning behind our choices.
Our senior leaders had a shared framework for decision-making.
Our staff had clarity on priorities and boundaries.
The meeting checklist we built into the playbook also gave us a rhythm—and guidance for when to solve problems and when to wait. And not insignificantly, our conversations shifted from personal preference to shared principles.
The playbook also exposed another need: a Key Messages document. Creating clear key messages gave our team the words they needed to speak consistently with donors, volunteers, and partners. Once we aligned internally, we could communicate externally with confidence and unity.
The Spiritual Side of Structure
Some leaders resist structure because they fear it will quench the Spirit. But I’ve learned that clarity creates freedom.
When your team knows the “why” and “how,” they can operate with creativity and confidence, not confusion.
Our playbook didn’t replace prayer—it made room for it.
And it allowed us to respond to ideas with discernment rather than defensiveness.
It also helped us steward influence with humility rather than reacting to every voice that wanted to shape the mission.
As Paul wrote, “For God is not a God of disorder but of peace.” (1 Corinthians 14:33) A healthy playbook helps reflect that peace in your leadership culture.
